“What needs are fulfilled by this project?” – were the needs met?

Develop a business plan for CIELAP to help the organization become more sustainable. Business plan is being prepared ; is being reviewed by Board of Directors.

Need to set up a quality management system for organization, develop a structured balanced scorecard and a reporting system. Needs were met, a computerized scorecard information management system based on four quality dimensions was developed, an operating manual produced and training sessions held with management & key staff.

Creating a marketing plan as well as evaluating/reviewing our existing French marketing & promotional material . This need was certainly fulfilled and if anything the student went beyond her mandate and provided an extremely detailed marketing plan and very detailed feedback of the existing French marketing & promotional material

The project provided the basis for the Community Kitchens program through the creation of a business plan. The business plan is the initial planning document that we will use to guide us through the start-up of the project. It also will act as a proposal for funding the program. The needs were met as the CEI student completed a documnet that our Program Director will use to plan the initiative.

Needs were definitely met as Paola soared ahead on organizing great fundraising and community-building events with us including the St. Laurent street sales, t-shirt sales, volunteer and community outreach, and the Bazaar (and press)

In 2004, SHARE undertook a plan to expand its education program for pension fund trustees. As part of this exercise, we identified the need to prepare a business plan for internal use and to solicit funders. Our CEI intern produced an excellent plan that will serve the project well.

Shastri Institute is looking forward to growth through organizational restructuring, broadening mandate and developing a long term sustainability strategy. To this effect, the summer project has contributed by developing qualitative and quantitative frameworks for setting futuristic direction.

We received a thorough operations review, detailed productivity reports, system efficiencies, data collection and analysis and these far exceeded our expectations and will be very useful for our business planning.

“What are the anticipated outcomes of the project?” Were they achieved?

Outcome of the project – a business plan for the organization. This has been achieved.
The deliverables were achieved. There was a cost-effective and integrated quality management system developed based on principles of Balanced scorecard. The project expanded in scope at a greater depth an initially anticipated. Facilitator was involvement of Board’s Quality & Risk Management Committee, and assigned Agency Manager to guide & troubleshoot project. Impediment was coordinating challenge between two students, MBA and the PhD Psychologist who worked on separate components of the project and sometimes didn’t work well together. Another Impediment was overseeing time as agency is expanding and two new programs drew key managers time away from project.

The two biggest anticipated outcomes of this project was the creation of marketing plan as well as an evaluation/reviewing of our existing French marketing and promotional material. We now have a plan to implement, something which we could not have done due to a lack of human resource and expertise, In terms of the actual outcome of the project (the creation of a marketing plan and evaluating/reviewing of our existing French marketing and promotional material) although only time will tell whether it will help us increase our visibility in Quebec, I feel very confident that it will. I believe that one of the reasons for this success was due to a detailed orientation (we ensured we invested the necessary time in the student) so she would have a strong grasp and understanding as well as the history of our organization. The other reason for this success was the student’s very strong work ethics.

The main outcome of the project was to create a business plan to be created. A plan was created so in essence the outcome was achieved. Also we wanted potential sources of funding to be identified for the porgram. The CEI summer student identified possible sources of funding and included it in the plan. Our other objective was for the student to gain an understanding of the Metro Food Bank Society~NS. We feel confident that Anusha came away with a valuable learning experience over and above the creation of the business plan. One of the main facilitators to the project was the student’s knowledge of what needed to be in a sound business plan. Anusha showed tremendous initiative and willingness to learn.

YES they were achieved – the hardest thing is the short period of time in which we are working with the intern, but because her time culminated in an EVENT, it was easy to organize her timeline and outcomes.

The CEI’s task was to produce a business plan for the proposed expansion to our trustee education program. The business plan was completed on schedule, however more time would have permitted a deeper exploration of some of the areas of the plan. Good relations with our CEI intern and the strong skills of our intern certainly facilitated the completion of the plan.

Anticipated outcomes which have been achieved from this project are:
1. Streamlined and functional web governance procedure for the Board of Directors and the Executive Committee.
2. Strategy documents for an overall organizational vision and direction.
3. India Studies in Canada Directory updating is in progress.
4. Framework fundraising plan is in place and is being pruned.
5. Database of potential donors is in place.
Key facilitators for a short term project like this are – the ability of the intern to adapt to the organization work culture immediately, to be able to move along a steep learning curve, skills like multi tasking, teamwork and ??

We had a well matched student and specific outcomes to be met, which greatly helped with clarity. Taking the time up front to determine our needs helped us recruit an ideal candidate, as did the CEI matching process.

What were the impacts of the project by the end of the summer?

CIELAP figures out ways of retaining the intern to complete the project – and to work on the organization’s 34th AGM and fundraising reception to be held on October 28 in Toronto.

1.Greater understanding of Balanced scorecards, Quality Dimensions, Indicators by Managers. 2. Greater focus on outcomes. 3.Foundation in place for state-of-art quality management system for this field.

We felt that for the first time, Kids Help Phone’s Quebec regional office had a marketing plan that met the cultural and linguistic needs of this province.

We have a good working document that outlines the need for the Community Kitchen program, challenges and strengths, and provides detailed information concerning community partners. The completed business plan is vital for moving this initiative forward.

Greater visibility in our community; fantastic event that raised over $5000; great working relationship with the intern; better system for reporting back on events; sharing of skills and backgrounds among staff and volunteers.

The business plan provided the organization with greater certainty about the financial viability of the program and areas that require additional attention in order to achieve success.

We have certainly moved ahead during the summer. Our strategy documents are ready for being discussed and approved in the forthcoming executive meetings in September.

We have a large volume of data and analysis that we can understand and integrate into operations. We also learned the specific costs of providing work options for our disabled clientele versus sustainability of a business.

Having met all the requirements for her internship, Katie’s work leaves the organization with a mountain of precious information to be used to further develop the program. Her collaboration with the HEC students on this dossier also allows for further collaboration between our organization and HEC.


How were the results meaningful?

Key strategy for organization is to be able to demonstrate its quality management system and provide enhanced accountability through Balanced scorecard. This project facilitated achievement of this goal which will make us a leader in BC

They were meaningful in that we believe as well as anticipate that this will not only help us raise more money for children in distress but that it will also help us create more awareness among children therefore increasing the use of our services from children in need of help.

Having a business plan allows us to take the next steps toward making this happen. Also, Anusha made a meaningful contribution in other areas of the organization. Anusha volunteered for a number of events throughout the summer helping raise funds and awareness of the Metro Food Bank Society~NS.

Among staff there was new confidence about running big events and involving the community in our events. The money raised goes to core activities that are not funded by other agencies – this is very meaningful!

Results have a direct link to Shastri’s vision for the next five years and Annual Institutional Plan.

Provided new eyes and energy to help the organization figure out how it is going to meet its mission.

We have facts and know our abilities as a business better. We know our exact costs, which affects pricing and sustainability. We know where to improve for greater efficiency. We are now set up and ready for aggressive marketing and know our services better to do so.

What are the next steps of the project?

1. Fully implement scorecard with live data. Some project management and minor tweaking will be necessary but should be achieved before Christmas. 2. Roll out a Computerized Client Information Management System. This feeds the Service Quality dimensions of the scorecard and was piloted over the summer. Full roll-out will take roughly a year. 3. Complete training on above for both projects. 4. Assign key staff to management of the information.

Get board approval; develop priorities for implementation; find funds to retain intern to help with implementation.

Our Director of Program Development will begin to secure the partnerships identified in the business plan (detailed action plan outlining next steps is included in the plan). Our Development Manager will take the business plan and present it to funding agencies.


We are considering connecting the Bazaar with our Food Cycle~ Rooftop Garden initiatives to better integrate our events with our mission and programs.

The next steps for the program are to seek additional funding and operationalize the business plan.

We have a new position for fundraising activities for moving on from a strategic to implementation stage. On the organizational restructuring, proposal for new membership development in India is being put forward before the relevant authorities. Regarding database updating and information dissemination, suitable modifications to enhance user friendliness are being implemented.

Marketing is our biggest challenge now. Until we have a larger volume of work next spring (cyclical contracts), we can’t use much of the production efficiencies we learned. So, our focus will be on contract procurement.

Did this project help you foster collaborative relationships with new groups or constituencies? How?

The business plan identified potential partners that we will have to foster collaborative relationships with new groups. Anusha conducted several preliminary meetings with these organizations. We were quite confident in her ability to represent the Community Kitchen project to outside groups.

YES! With Montrealite!

As part of the research for the business plan, the CEI intern organized several focus groups and a national survey of potential customers. Through these activities, SHARE was able to establish stronger relationships with members of our constitutency as well has exposing our name to a broader segment of the market. In addition, the process of developing the business plan also introduced us to a number of potential service providers and partners that will add greatly to the value of the program.

This project helped in identifying potential relations, for example, development of database of Canadian corporations with business interests in India.

Yes, mainly UBC and using students and resources that can be mutually beneficial. For instance, we cannot afford expensive market research, but many students have access to extensive libraries of this information.

Did having a management student specifically help you foster collaborative relationships with new groups or constituencies?

Having a person specifically devoted to this project enabled us to have a staff person charged with seeking out partners. Anusha’s education and prior experience were definite assets for the organization when seeking collaborative partnerships.

Yes, the management skills of our CEI intern helped identify the appropriate service providers and partners for the project. Her ability to coordinate focus groups and conduct surveys was also an added benefit. Of course, her skills were essential in the development of the plan itself.

Yes, the student had a greater awareness of factors that would influence Shastri’s relations with other entities and therefore leading to a superior relationship value definition and identification.

It is a bit early to tell, but our student had ideas of how we could work further with the UBC Sauder School and will tell people of us for projects. But, our success with her give us great confidence to try this route.


Were any especially innovative solutions or outcomes developed through this project? Describe them.

It was innovative for the organization to engage an MBA intern to develop a business plan. It was innovative for the organization to have a business plan; and to have an MBA student help us work on our problems.

Yes, the balanced scorecard application and data system is completely unique in this field.

The collaborative partners proposed some innovative solutions. Had Anusha not facilitated meetings with these groups, we would not have been aware of the solutions.

Due to the fact that I am not a specialist in marketing (my post graduate work is in Organizational Development), I am not sure whether the ideas that were put in the plan were actually “innovative” but they were certainly new to me and I must say that I was impressed with them.

I think it had more to do with building excellent community relationships through very tangible means (street festivals, talking and exchanges, business transaction (t-shirts) and Bazaar event.

Through discussions with potential service providers and partners, we identified a number of ways to enhance our educational program to meet the specific needs of adult learners and create a unique product offering. This was built into the business plan.

This project has its share of coming up with innovative solutions. For example, an option of Shastri providing technology commercializing network support to Canadian Members is one such example. Further, we were able to define some improvements in database and its structure on the website.
I would attribute teamwork and a collaborative work environment as the prime driver for such innovations to happen. This is because a teamwork and collaborative approach focuses strongly on the organizational objectives rather than individual achievement, providing a broader picture before the individual and therefore catalyzing innovation.

Documenting labor and outputs was a goal, but we also received the “other” factors of who works faster when seated next to whom, for example. We had not documented this before and it took an external, unbiased person to even notice these anomalies. She also developed some forms that will assist us greatly with customers and tracking.

Several ideas emerged in the process of this internship. The very close collaboration between Katie and the HEC group contributed to bringing up a new vision and solutions to some issues surrounding Congé solidaire. For instance, it was suggested that a different name be adopted, new avenues be explored in order to promote the program. These ideas emerged through several discussions following the initial research. A comprehensive promotional plan was produced and is the major outcome of the internship.


Did the summer project have any affect on the organization’s goals or vision? How?

It is helping the organization to focus its goals and make them more measurable.

Definitely. It helped us focus more of our efforts on awareness rather than fund raising …thus working on some big picture & long terms goals.

The Board of the Metro Food Bank Society~NS has set a goal for the organization to become more proactive in moving people away from food bank lines. A program that provides skills training will certainly responds to this goal.

The t-shirt partnership with Montrealite that Paola fostered strengthened our relationship with our neighbour (David Jenkins) and his business – it also gave Montrealite a stronger vision of how it could work in partnership with Montreal youth-led non-profits and raise money and awareness through a social enterprise. This, in turn, gave us more of a focus on how we want to build long-term partnerships with “3rd-party funders”.

This summer project was a constituent part of Shastri’s vision and goals. Therefore as such there was no altering affect. However, it did help in providing new perspectives within the confines and in consistent with Shastri’s objectives.

Yes, We need to continue to document outcomes, do financial analysis and consistently seek efficiencies as part of our planning cycle. Part of this is simply learning the “lingo” of business and using existing tools to help us move forward.

Her work certainly had an effect on Congé solidaire – the programme and its vision.


Would your organization have carried out this project if it were not for the CEI internship program?

No, we would not had the resources to do the necessary research to develop a comprehensive business plan with specific goals and measurable outcomes etc.

Only part – the client data system & Goal Attainment schedule. The integrated scorecard would not have proceeded

Certainly not as we simply did not (and still do not) have the human resources nor the expertise to have carried it out.

Yes. However, having a student specifically focusing on this project greatly accelerated the development of the Community Kitchen initiative.

The process of creating the business plan helped us to explore and clarify the goals of the program by challenging many assumptions and leading us to discover resources we did not know existed.

Yes, we would have carried out this project even if were not for CEI internship because it ties so strongly with Shastri’s sustainability plans. However, the modalities would have been different.

No. Affordability would have been one issue, combined with the additional supports and matching that CEI assisted with, made it virtually risk free.

Congé solidaire would have had to find other ways to obtain the information gathered through this research. I would have been difficult to have a similar internship. The fact of having ‘’access’’ to management students as interns is very unique to CEI.


How did the student leave an impact on the organization?

The student is still with the organization.

The scorecard should leave a lasting legacy to the student’s work

Helped us create a long term plan around the marketing and awareness of our organization, which we believe will not only help us raise more money but also raise youth awareness, which means helping children in distress that call us, whether they are calling about suicide, being sexually abused, teen pregnancy or depression.

Anusha made a very positive contribution to the MFBS~NS. She was valued member of the Resource Development team; she produced a document that exceeded our expectations given the limited time frame; and she contributed through volunteering at special events.

Our CEI intern brought a lot of energy and fresh insight to the organization. Her questions were probing and her dedication provided inspiration to the rest of the staff.

She provided education and skill sets we didn’t have, was kind and positive and helped focus the team into a combined vision.

Katie was an exceptionally good intern who could work efficiently and independently. There is no doubt that the results will leave footprints in our organizations CECI and WUSC.


Would you hire a student through CEI again? Why?

Yes, the students have very effective skills, are motivated, organized and team players.

Yes, the MBA’s bring a technical skill that often isn’t available to Non-profits and it is cost-effective avoiding the expense of high priced and often unattainable consulting companies. Also, there are many potential projects that I can envision the MBA students helping us achieve.

Certainly. This was our 2nd time hiring a student through CEI (different city) and the quality of the student again was impeccable. I must also add the service / help offered by CEI was also impeccable. Whenever I called or needed any help about anything, I got fabulous response and always very quickly.

Yes. CEI students have the business and planning skills that we were looking for, and an interest in applying those skills in a non-profit setting.

YES, because our experience is that they are committed, spirited employees with excellent work ethics.

Yes. CEI interns bring strong commitment to their work and fresh insights which are valuable to the organization.

Yes, we would certainly look forward to continued association with CEI because Shastri can look forward to network with the whole CEI community as against a single individual if hired from outside CEI.

YES!!! The contribution and cost benefit was unbelievably positive.

Yes. Absolutely. This is a good opportunity for both employers and interns. From our experience, the internship brought ‘new blood’ to the organization and a fresh look to a given task/dossier/program.


Has working with a management student at all changed your impressions of business schools or management students?

It is good to know that there are management students from business schools who are interested in the not for profit sector and interested in understanding the constraints that the sector work under.

It further reaffirmed the quality of students participating in these programs. We often have student interns from undergraduate business programs in Halifax and, for the most part, have been more than satisfied with the quality of their work and dedication to the organization.

It has affirmed that there are students in the management and business schools who are totally committed to social values and social change.

Yes, for the better.

Yes, there seems to be perceptible change in attitudes. Business students today are more go getters, willing to do whatever it takes to rather than being entrenched in glorified ivory towers.

Yes. Her level of professionalism was outstanding, but more importantly, she had practical and applied skills, which I was somewhat leery of. I expected more theoretical contributions and then we would have to figure out how to integrate the information, but this was simply not the case.

Yes. Katie will not only be a good ‘manager’ but she also has a strong sense of humanitarism that she will carry with her in the work place.


How could the student have been better prepared to work in the voluntary sector environment?

Better communication & negotiation skills. The student had superb technical skills, but needed better communication abilities which ended up being a frustration. This was, however, an expected benefit to the student to create awareness of the challenges of working within a non-profit’s organizational culture.

In an essence or in a nutshell ….realistically, this particular student we hired could not have been better prepared as she was simply a natural in our field. She was also by far the best student I ever hired … quality work wise and work ethics wise.

The student was prepared for the placement and demonstrated an open attitude to learning about the voluntary sector environment.

I’m not sure any schooling would better prepare a CEI student to work in this environment; it is a bit of a “see it to believe it” situation. I think Paola adapted really well to the environment because she was open, and really keen to do a good job. Also, because she enjoyed the place, the pace, the mission and the people.

Students need to be made aware that they may receive less orientation in a non-profit environment to due limited resources. Advanced personal preparation is advisable.

I can’t think of anything. There was a small learning curve about our disability group, but this took less than a few days to work through and we could have provided better education in that regard, yet that wasn’t the focus of the project, so a lack of disability knowledge was almost a plus.

We were really lucky that Katie understood the issues involved in international development. If it would not have been the case, I presume that a general overview of the Canadian voluntary sector, the mandate (in general, of NGOs) would have helped.


Were you satisfied with CEI in its role?

Yes

Extremely. I also saw improvements from last year (i.e. better local candidates)

CEI was very accommodating, providing prompt responses to any questions we had about the process. We were very impressed with the short list of candidates CEI put forward for this position.

YES! I think visiting the student at their place of work is key.

Yes. The organization is very committed to ensuring the success of its placements. It also provides a strong bridge between business students and the non-profit community which needs their skills and expertise.

Absolutely.

Matching was excellent and made the selection process quite difficult (nice problem!). Decision for an MBA versus B.Comm student was also excellent (we would have picked the cheaper, not knowing the differences). It was also comforting knowing that if we had problems, we could contact CEI for trouble-shooting and suggestions. Lastly, it was nice that CEI took an interest in our project too and have a passion for this sector.

We really appreciated Kariann’s visit halfway through the program. Her input helped us to confirm that we were on the right track and her suggestions/contribution were welcome.


Please list some concrete & specific ways that you would like to see business schools active in the sector.

In an ongoing way – to provide up to date information and expertise in a number of management and administrative areas – for example; database management; financial; marketing – including software knowledge and expertise

Sponsoring on the ground “value” research. Little is done in the way of value for dollar reviews of Canada’s important social infrastructure. By being encouraged to study, it would help encourage folks to work in the field as well.

Helping with high level. big picture marketing plans with a minimum of detail and written in “layman” terms.

I would like to see more programs include courses specific to management issues in the non-profit sector. I would also encourage business schools to design certificate and diploma programs, either distance education on continuing education, in management and market those programs to people already in the sector.

Being open to 2-way exchange of knowledge i.e. what business schools can learn from non-profit management and innovation.

Business schools should be providing instruction on ethics and the role of business in stimulating the objectives of the third sector (social and environmental justice). In addition, schools could identify a representative to liaise with organizations like CEI to support and facilitate such internships.

1. Business students should be encouraged to undertake course projects in non profit sector.
2. Non profit sector organizations should extend their events invitation to business schools.
3. Sustainability and environmental performance is one big area where non profits and business schools can work hand in hand.

Projects in a variety of areas (HR, marketing/PR, business consulting, fundraising), but also inclusion of this sector as guest speakers and in teaching curriculums, as a viable part of the economy and important part of community.

Continue to offer the possibility of hiring summer interns, offer the possibility of hiring interns all year round (such as the coop programs), use some NGOs or programs as case studies in the curricula.

Katie was a highly valuable asset to Congé solidaire this summer. Her work inspired us. She is exceptionally quick at understanding the issues at hand and is very organized. Thank you CEI for this great initiative!
